Assistant Manager, Volunteer Management

Job Responsibilities

  • Develop/Propose new partners and sources of volunteer recruitment to support Satellite Offices’ recruitment efforts and to sustain a healthy pool of volunteers.
  • Act as an account manager to partners to provide end-to-end seamless volunteer and stakeholder management.
  • Track and monitor the centralised recruitment of volunteers (e.g. referrals of volunteers, social media), extract and analyse volunteer leads, and provide monthly reports on leads generation and conversion.
  • Support in the planning, execution and administration of volunteer appreciation and recognition initiatives, such as awards and referral incentive programme.
  • Extract, collate and analyse data from various systems and platforms for timely and accurate submission of volunteer management reports and dashboards, and circulation to the Satellite Offices.
  • Manage the volunteer management module in the system, and assist to address all system-related queries or issues raised by Satellite Offices.
  • Manage and maintain all volunteer-related forms (e.g. volunteer application, Letter of Undertaking).
  • Support in the planning and implementation of volunteer engagement initiatives, including volunteer experience survey and townhall.
  • Partner with AIC’s division(s) and Satellite Offices to coordinate, monitor and manage volunteer-related communication, marketing and branding matters to enhance awareness and drive volunteer recruitment.
  • Support in the procurement of products and services related to volunteer management, in line with organisational guidelines.
  • Serve as HQ liaison and maintain regular communications with the Satellite Offices’ volunteer management reps on matters related to volunteer management, systems, and training.

Job Requirements

  • Minimum 4 years of working experience, with strong operations background.
  • Experience in managing volunteers, especially in the social/community care sector.
  • Good communication, writing, interpersonal, and stakeholder engagement and management skills.
  • Proficiency in data collection, analysis, reporting, and compliance/governance.
  • Analytical and organised, able to translate concepts into actionable goals. 
  • Meticulous, resourceful and creative.  
  • Possess an open and collaborative mindset, with an adaptable and “can do” attitude to thrive in a fast-paced environment.
