Assistant Manager/ Senior Executive, Grant Administration

      

  1. Grant Administration & Compliance
  • Process the grant applications and claims accurately within stipulated timelines, ensuring adherence to funding agreements.
  • Review audit reports from grantees to verify compliance with application requirements.
  • Engage with grantees and business divisions to address concerns related to grant administration.

 

  1. Project Setup & Monitoring
  • Set up projects in the system within the required timeframe, ensuring proper documentation and digital record-keeping.
  • Track fund utilisation through utilisation reports submitted by grantees to ensure accurate financial oversight and identify potential refunds.
  • Monitor the progress of grants, track fund utilisation, and update records for project creation, closure, or budget adjustments.
  • Track and provide updates on project fund expiries, triggering the refund process and ensuring the receipt of funds.
  • Ensure accuracy in preparing Letters of Agreement (LOA), addendums and defining claim methodologies.

  1. Reporting & Audits
  • Provide data, reports, and extracted documents required for business division or MOH reporting and audits.
  • Coordinate engagement with auditors, finance, business division to meet audit reporting requirements.
  • Prepare statistical reports and dashboards for management updates.      

       

  1. Financial & Budget Management
  • Prepare and process disbursement requests and approvals for disbursement funding.
  • Prepare and submit drawdown requests to funders to ensure timely fund disbursement.
  • Coordinate the budgeting process for the business division.
  • Ensure budget accuracies in assessments presented to the Evaluation Panel

     

  1. Ad-Hoc Duties
  • Support additional projects or roles as assigned.

 

Please note that this role is on 2 years contract, subject to renewal. 

 

Requirements:

  • Bachelor’s degree in business, Finance, Accounting, or a related field.
  • At least 3 years of relevant working experience in grants administration, financial compliance, or audit-related work preferred.
  • Good analytical skills and numerical skills to process grant data, track fund utilization, and ensure accuracy in financial records.
  • Strong problem-solving and organizational abilities to manage multiple tasks and meet deadlines efficiently.
  • Meticulous and detailed oriented with strong follow-up skills to ensure compliance and accuracy.
  • Good communication and interpersonal skills to engage with stakeholders effectively.
  • Ability to work independently and as part of a team in a fast-paced and dynamic environment.
  • Proficiency in Microsoft Excel and Word for financial tracking, reporting and documentation.
  • Proactive and willing to learn, with the ability to adapt to evolving processes and policies.
